Technical guidelines

Dear i3 Project Co-ordinator,

On behalf of the Organising Committee (OC) for the i3 Annual Conference, below please find a set of guidelines for the space, equipment and facilities that will be available for project poster sessions and technical presentations at the i3 Annual Conference. The guidelines are in agreement with the technical low-key idea of this first i3 conference: no networked PCs and SUNs, no big installations, no need for you to transport expensive and complex equipment to the event, no hiring of the same things for you to struggle with several days in advance of the conference, etc. - basically no high-tech exhibition for which the ISTEC'98 is much more suitable than the Nyborg Strand event.

The OC aims to meet on Wednesday 13 May to finish the overall planning of the conference. To include an iteration with you before finalising the forms which you will be invited to use to provide fully specific requirements later on, the OC invites you to send your project's draft requirements by Monday 11 May at the latest. Please send these to helen@mip.ou.dk. A simple list of items is sufficient and nobody will expect it to be complete. The purpose is to ask your help in reviewing the types of facilities that you would like to have available at the conference. It is a matter of trying to adjust between demand and (modest) supply.

Please do not forget to send us your estimation on how many co-workers on your project (all partner sites) are likely to participate in the i3 Annual Conference.

Some i3 Project Co-ordinators have already supplied information on numbers and on presentation requirements, and we would like to thank you for it and say that your information has been duly noted.

 

POSTER EXHIBITION

Project poster(s) and demo space per project:

  • wall space about 3 meters long, straight
  • area for posters on movable poster walls with a usable surface measuring 120 cm's in width and 150 cm's in height (185 cm's in height overall)
  • one table and two chairs
  • electrical power, 220 Volts, European plugs
  • if requested, two dividers each up to 3 meters long. These could be arranged with the above "back wall" to enclose an area of max. 3x3 meters.
NB: Posters for the Technical Programme will be offered special space, but you can choose to include them in the project presentation if you like.

General facilities in/near the Poster Exhibition area:

  • one/two video viewing areas, each with a video recorder/player and a monitor (European standard).
  • one demo viewing area with a data projector and one or two Macs and PCs with CD-ROM drives. The Macs will run on Mac OS 8.0. The PCs will run on Windows'95. If you need Windows NT, please tell us. The machines will have standard software only, including the latest version of PowerPoint. If you need special software, you are invited to bring it and install it.

 

PROJECT PRESENTATIONS (oral, plenary)

Will take place in a well equipped auditorium, with:

  • overhead projector
  • 35mm slide projector
  • projector for video/PC/Mac/your laptop display
  • sound system.

A speaker preparation room with:

  • overhead projector
  • 35mm slide projector
  • monitor for video/PC/MAC/your-laptop display + sound
  • various overhead slide preparation material
